AI employees for small business

AI employees for small business are AI agents that each take over one recurring job a small team would otherwise do by hand, such as answering the inbox, giving first replies to customers, posting the weekly numbers or drafting marketing, and hand back results for the owner to approve. Most small businesses start with one or two roles, not a whole team. Below are five starter roles and what each owns, nine tools compared with prices from each vendor's own site as of November 1, 2026, a way to compare the cost with a part-time hire, and a plan to get the first one working in a week.

How to start with AI employees in one week

  1. Day 1: list the repeat work and pick one role

Write down everything you or your team did more than twice last week, with roughly how long each took. Circle the task that takes the most time, follows the same steps each time and is cheap to get wrong once, such as sorting the inbox or posting the weekly sales numbers. That is your first AI employee's job.

  2. Day 2: choose a tool and start a trial

Use the comparison table below to pick a tool built for that job. A bundle such as Marblism or Sintra suits a business that wants ready-made roles; a calendar tool such as Motion suits scheduling; a support agent such as Tidio Lyro suits website chat; an agent such as Reason or Lindy suits a job you describe yourself. Several offer a trial, credits or a money-back period.

  3. Day 3: write instructions and connect the tools

Describe the job in plain words: what it does, which sources it may trust, who it may answer and what it must never do. Connect only the accounts that job needs, such as one inbox and calendar, your payments tool or your help docs. In Reason, you create a Reason in the web app or the Mac app and add connectors in Customize.

  4. Day 4: set approvals

Decide what it must ask you before doing: sending email, replying to customers, posting in public, offering refunds or changing anything in billing. Start strict. In Reason, every Gmail send shows a preview and only that exact message can be sent.

  5. Day 5: run it by hand and review

Ask it to do the job a few times while you watch. Read every result, correct it in plain words, and note how long your review took. A good result should need only small changes by the end of the day.

  6. Day 6: put it on a schedule

Have it start on its own: a daily or weekly time, or a new message in a channel. In Reason, a Loop wakes it on a schedule, a webhook, a GitHub event or a Slack message, and it works on a cloud computer, so it keeps going while your laptop is closed.

  7. Day 7: measure and decide

Compare the time the job took you before with the time you now spend reviewing it, and the cost of the tool with the cost-per-task formula below. Keep it, adjust it or drop it. Add a second role only once the first one runs without much correction.

What is an AI employee for a small business?

An AI employee is an AI agent set up to own one recurring job. It has standing instructions, access to the tools that job needs, a schedule or trigger that starts it, and memory of earlier runs. It works on its own and hands you a finished result, such as a reply draft, a report or a booked meeting, instead of waiting for a prompt.

For a small business, the appeal is coverage, not headcount. Work that falls between people, like chasing follow-ups, answering the same customer questions or keeping the books up to date, gets an owner that works every day. You still decide what it may do alone, and you stay responsible for what it sends.

Five starter roles for a small business

Pick one of these first. Each owns a clear job with a result you can check, and each has a step it should always ask you about.

  • Inbox and calendar assistant: in Reason it reads and changes Google Calendar and sends Gmail only after you approve each message; a new Google connection cannot read the inbox until Google finishes reviewing that access.
  • Customer support first responder: Tidio Lyro is built for website chat; in Reason it answers in the Slack channels you choose, links the help page it used and flags a person for anything else.
  • Bookkeeping and metrics reporter: it is not your accountant; it reports operating numbers from the tools you connect. In Reason it reads Stripe and PostHog through their connectors.
  • Marketing content assistant: Marblism and Sintra sell ready-made social and content helpers, and Marblism says its social manager posts on seven platforms. Reason has no X or LinkedIn connector, so in Reason this role drafts and you publish.
  • Sales follow-up assistant: for outbound prospecting from a lead database, Artisan and Marblism's lead generation employee are built for it; Reason works from your own email, calendar and data.
RoleWhat it ownsTools it needsWhat it asks you first
Inbox and calendar assistantA morning briefing, scheduling and rescheduling, reply drafts in your voice, follow-up remindersYour email and calendar; a chat app to reach youSending any email; accepting or declining meetings

Sales follow-up assistantA follow-up list after calls and meetings, follow-up drafts, keeping a lead list or CRM currentEmail, calendar and your CRM or lead spreadsheetSending outreach, especially to people you haven't contacted

How we compared them

  • Sources: every fact about a product comes only from that vendor's own website, pricing page or documentation, read on November 1, 2026. We used no third-party reviews, and each source is linked at the bottom of this page.
  • Built for: what the vendor's own site says the product does.
  • Price: the plans listed on each vendor's own pricing page, per month in US dollars. Where a vendor publishes no price, we write "Contact sales" or "not published" instead of guessing. Billing periods and units (seats, credits, hours, conversations) differ, so prices are not directly comparable.
  • Phone calls: "Yes" only when the vendor's own site says the product handles calls.
  • Disclosure: we make Reason. Its row describes only what Reason does today; read it with that in mind. The other rows use only what each vendor says about itself.

Cost vs a part-time hire

Wages vary too much by role and place for one number to be useful, so use your own figures in the formula below. For a local wage, look up the role in the US Bureau of Labor Statistics occupational wage data, linked in the sources.

  • Part-time hire, per month: hourly wage × hours per week × 4.33, plus employer payroll taxes and any benefits. Add the hours you spend hiring, training and managing.
  • AI employee, per month: the plan price, plus any usage beyond what the plan includes, plus the hours you spend reviewing its work × what an hour of your time is worth.
  • Cost per task: divide each monthly cost by the number of tasks done, such as replies sent, reports posted or meetings booked. Compare the two per task, not per month.
  • Break-even: a tool that costs P a month pays for itself when it does work that would take a person more than P ÷ their hourly cost hours a month. For a $50 plan and a person who costs you H dollars an hour, that is 50 ÷ H hours.

What a part-time hire still does better

A person handles judgment, relationships and anything physical or new. They can answer the phone, which Reason cannot, meet customers in person, notice that something is off and decide what to do about a situation nobody wrote instructions for. Many small businesses pair the two: AI employees take the repeatable work, and a person, often the owner, approves what goes out and handles the exceptions.

Limits to know before you start

  • They follow instructions, not intent. Vague instructions give vague results; write down what good looks like.
  • They repeat mistakes until corrected. Plan to review every result in the first week, then spot-check.
  • Access is risk. Connect only the accounts a job needs, and require approval for anything customers or the public will see.
  • Usage pricing varies. Credit, activity and conversation limits mean a busy month can cost more than the starting price; check what each plan includes.
  • Not every tool does every job. Reason has no phone features, no mailbox of its own and no X or LinkedIn connector; check each vendor's own site for what its product handles.
  • You stay accountable. An AI employee acts on your behalf, so what it sends is yours.

How to choose

  • You need the phone answered: Marblism's receptionist, according to its own site.
  • You want ready-made roles at a flat price: Marblism or Sintra.
  • Your problem is the calendar: Motion.
  • Your customers ask questions in website chat: Tidio Lyro.
  • You already automate with Zapier: Zapier Agents.
  • You sell B2B and need outbound prospecting: Artisan.
  • Your team works in Slack and wants one assistant: Lindy or Reason.
  • You want several jobs you describe yourself on one plan, including jobs that touch code or your own data: Reason. We make Reason, so weigh that suggestion accordingly.

Questions

What are AI employees for small business?

AI agents that each own one recurring job in a small business, such as the inbox, first replies to customers, weekly numbers or marketing drafts. They start on a schedule or trigger, use the accounts you connect and hand you results to approve.

How much do AI employees cost for a small business?

As of November 1, 2026, from each vendor's own pricing page: Marblism is $24 a month billed yearly ($44 monthly) for seven roles, Sintra X runs from $15.60 to $48.50 a month depending on plan length (shown as sale prices), Tidio Lyro starts at $39 a month, Relevance AI Pro at $19 billed yearly, Zapier Agents has a free tier and Pro at $50 a month, Motion starts at $19 per team seat billed yearly, Lindy Team is $49.99 per active user, and Reason Pro is $50 a month per person with no per-employee fee. Which AI employee should a small business hire first?

The one that takes the most of your time on a job that follows the same steps each time and is cheap to get wrong once. For most owners that is an inbox and calendar assistant or a weekly numbers report; for shops with many customer questions, a support first responder.

Can an AI employee replace a part-time hire?

For repeatable, checkable work it can take over a large share, and you can compare the cost per task with the formula on this page. A person is still better at phone calls, in-person work, relationships and anything new; many businesses use both.

Which AI employees for small business answer phone calls?

Of the nine tools here, Marblism's receptionist answers calls 24/7 and Relevance AI lists calling agents on its higher plans, according to their own sites on November 1, 2026. Artisan offers a dialer for your reps. Reason has no phone features.

Do I need technical skills to set one up?

No. You describe the job in plain words, connect your accounts and choose when it runs. In Reason, you create a Reason in the web app or the Mac app, add connectors in Customize and set a Loop.

Is this comparison neutral?

We make Reason, so it is not. We used only each vendor's own website for its facts, linked every pricing page, and wrote a best-for line for each product, including where another one fits better than Reason.
